Governance is the Foundation of SharePoint Success

As organizations are increasingly adopting SharePoint as their portal and collaboration solution, the need to manage their SharePoint environment is becoming increasingly apparent. In order to prevent SharePoint sites from proliferating and the content within becoming more difficult to find and organize, a SharePoint governance plan must be defined. If there is no governance, organizations can be left with unmanaged and unusable SharePoint content that costs money to store and creates risk with regard to regulatory compliance. Governance of anything consists mainly of decision rights and accountability. Governance is not a “checklist” of activities but it is rather than an ongoing strategy for staying on top of your SharePoint environment, assessing performance and the never-ending list of end user requests within regulatory and compliance boundaries, and balanced with some of change managements.

How should SharePoint Governance be implemented?


Organize information according to an existing taxonomy, or create a custom taxonomy that includes all content required to support business solution. After information is organized, design an information architecture to manage enterprise content. Then, determine the most appropriate IT services to support the information architecture.

A comprehensive training plan should show how to use SharePoint according to the standards and practices that implementing and explain why those standards and practices are important.

Successful SharePoint Governance Plan is an iterative process. The governance committee should meet regularly to consider incorporating new requirements in the governance plan, reevaluate and adjust governance principles, or resolve conflicts among business divisions for IT resources.
